We are seeking a highly experienced Regional Administrative Assistant to support our leadership team and contribute to the growth of our organization.

Position Overview:
The Regional Administrative Assistant will provide vital support to the CEO and executive team, focusing on opening new dialysis facilities, payroll processing, personnel file management, and compliance audits. This role is remote but requires at least 3-5 years of experience working in a dialysis facility in an administrative role. Occasional travel will be necessary to assist with facility launches and audits.

Key Responsibilities

Facility Support

  • Assist in the planning and executing new dialysis facility openings, including coordinating licensing, compliance, and onboarding processes.
  • Act as the central point of contact between corporate and regional teams during facility setup.
  • Maintain accurate records and documentation to ensure compliance with all regulatory requirements.

Administrative Support

  • Manage the CEO's and executive team’s calendars, scheduling meetings and coordinating travel arrangements.
  • Prepare meeting agendas, track action items, and ensure timely follow-up communications.
  • Handle correspondence and administrative requests promptly and efficiently.

Payroll & HR Management

  • Process payroll using ADP RUN or ADP Workforce Now, ensuring precision and adherence to deadlines.
  • Maintain and update personnel files, ensuring all certifications, licenses, and credentials are current.
  • Conduct regular audits of personnel records to ensure compliance with dialysis industry standards and regulations.
  • Support HR processes, including onboarding, credential tracking, and policy compliance.

Compliance & Audits

  • Conduct regular audits of personnel files, operational records, and compliance documentation to meet state and federal regulations.
  • Ensure all documentation for employees and facilities aligns with dialysis-specific requirements.
  • Prepare for and assist during internal and external compliance audits.

Operational Support

  • Facilitate communication between regional teams and corporate leadership to ensure alignment on operational goals.
  • Track budgets and expenses related to facility openings and travel.
  • Oversee supply ordering and inventory tracking for new and existing dialysis facilities.

Qualifications

  • Required Experience:
    • 3-5 years of administrative experience in a dialysis facility. Experience in other healthcare settings will not be considered.
    • Hands-on experience with ADP RUN or ADP Workforce Now payroll systems.
    • Proven ability to maintain and audit personnel files within a dialysis-specific operational framework.
  • Skills:
    • Deep understanding of dialysis operations, terminology, and compliance requirements.
    • Proficiency in Microsoft Office Suite, Google Workspace, and other administrative tools.
    • Strong organizational and multitasking abilities, with a focus on detail and accuracy.
    • Excellent written and verbal communication skills.
    • Ability to work independently in a remote setting and adapt to changing priorities.
  • Preferred Qualifications:
    • Familiarity with state and federal compliance standards specific to dialysis facilities.
    • Experience coordinating the opening of dialysis facilities or managing large-scale operational projects.
